We wanted to let you know that our Scout Group policies have recently been reviewed and updated. This is part of our ongoing work to make sure everything we do – from welcoming new members to keeping your children safe – is as clear, consistent, and up to date as possible.

These updated policies have now been approved by our Trustee Board and are live.

🔍 What’s Changed?

You won’t see big changes week-to-week, but here’s what’s new and important to know:

👥 Youth Membership & Engagement

We’ve combined several older policies into one simple guide. It now covers:

  • Joining the Group and waiting list priorities
  • Attendance expectations and absence reporting
  • Uniform guidance
  • Support for families facing financial hardship
  • Permission requirements for walking to and from meetings

💬 Three Everyday Things to Be Aware Of:

To keep things running smoothly and fairly for all families:

Subs Payments
Subs are now clearly set out: £15 per month by Direct Debit (no payment in August). If you ever struggle to pay, please talk to us in confidence – we can help.

Event Invitations (OSM)
Please respond to all invites via Online Scout Manager – even if it’s a “no.” Not replying can mean your child misses out or causes issues with planning.

Walking to/from HQ
Only Scouts may walk to/from meetings on their own – and only if you’ve submitted a permission form. All younger sections (Squirrels, Beavers, Cubs) must be dropped off and collected by an adult.

💷 Financial Management

This policy now includes everything about:

  • How and when to pay for activities
  • Refund and cancellation rules
  • Fundraising and grants
  • Our reserves and budgeting approach

🧑‍🤝‍🧑 Supporting Volunteers

We’ve clarified how we recruit, support, and recognise adult volunteers – including DBS checks, training, and expenses. This helps us keep a great team delivering safe, fun Scouting for your child.

🏠 HQ and Equipment Use

We’ve streamlined guidance around how our building and kit are managed – covering access, cleanliness, safety, and repairs.

🔐 Data, Privacy and Security

We’ve combined several older documents (like the CCTV policy and cookie notice) into one clear explanation of how we handle your data securely and respectfully.
